KiwiRail is on an exciting journey as we continue to modernise and grow our rail and ferry services across Aotearoa. We are looking for a professional, customer-focused Corporate Workplace Manager to create a positive and welcoming experience for employees, visitors, and customers at our Wellington corporate office. Reporting to the National Facilities Manager, you'll be the first point of contact for guests and staff, ensuring the reception area and workplace environment run smoothly and efficiently. This is a highly visible role suited to someone who enjoys working with people, thrives on providing exceptional service, and takes pride in maintaining a professional and organised workplace. You'll combine reception, customer service, administration, and workplace coordination responsibilities to help ensure our people and visitors have a great experience every day.


What you'll be doing


  • Providing a professional, friendly and welcoming reception service for visitors, contractors, and employees
  • Acting as the first point of contact for enquiries, directing visitors and responding to requests
  • Managing incoming calls, emails, deliveries, and visitor registrations
  • Supporting the public 0800 business line by handling customer enquiries and resolving issues
  • Coordinating meeting rooms, catering, and visitor arrangements
  • Assisting with workplace events, meetings, and staff activities
  • Maintaining presentation standards across reception, meeting rooms, and shared office spaces
  • Supporting workspace and office administration activities
  • Raising purchase orders and maintaining workplace records and documentation
  • Coordinating building-related requests and liaising with facilities providers and contractors
  • Assisting with security, access cards, visitor processes, and workplace compliance requirements

  • Previous experience in reception, administration, hospitality, customer service, or front-of-house roles
  • Exceptional customer service skills with a genuine passion for helping people
  • Strong verbal and written communication skills
  • A professional and welcoming manner with confidence dealing with a diverse range of people
  • Excellent organisational skills and the ability to juggle multiple priorities
  • Strong attention to detail and a proactive approach to problem solving
  • Sound Microsoft Office skills and confidence learning new systems
  • Experience supporting office operations, workplace coordination, or administration is desirable
