Job Description


We are seeking an experienced and motivated Senior Administrator to join our Foster Care team. This is an exciting opportunity to play a pivotal role in supporting a service that provides safe, stable, and nurturing care for tamariki and rangatahi when they are unable to live with their parents, caregivers, or whānau.


As the backbone of our administrative operations, you will provide high-quality support to a multidisciplinary team of social workers, managers, caregivers, and community stakeholders. Your work will help ensure our Foster Care service operates effectively, enabling our teams to focus on delivering positive outcomes for tamariki, rangatahi, caregivers, and whānau.


This is a varied and rewarding role where no two days are the same. From coordinating financial and payroll processes, maintaining records and reporting, supporting caregiver recruitment and onboarding, and managing day-to-day office operations, you will play a critical role in keeping our service running smoothly.

This is a part-time position of 25 up to 30 hours per week, with flexibility to negotiate hours for the right candidate. We are committed to attracting the best person for the role and are open to discussing a work pattern that meets both the needs of the service and the successful applicant.


What we're looking for


You will be a well-organised, proactive, and efficient administrator who is passionate about supporting positive outcomes for tamariki, rangatahi, caregivers, and whānau. To be successful in this role, you will have:

  • Previous experience in an administrative role, ideally within the social services, community, or not-for-profit sector
  • Strong planning, organisational, and time management skills
  • Excellent attention to detail and the ability to manage multiple priorities and deadlines
  • Well-developed verbal and written communication skills
  • Experience building positive relationships with a range of internal and external stakeholders
  • Confidence using Microsoft Office applications, particularly Word, Excel, Outlook, and Teams
  • Experience supporting financial administration, payroll processes, or data management systems
  • The ability to work independently while contributing positively to a team environment
  • A commitment to maintaining confidentiality and handling sensitive information appropriately
  • An understanding of, or willingness to learn about, Te Tiriti o Waitangi and culturally responsive practice

Key responsibilities In this role, you will:

  • Provide high-quality administrative and coordination support to the Foster Care service
  • Develop, implement, and maintain efficient administrative systems and processes
  • Coordinate reporting requirements and ensure key deadlines are achieved
  • Support financial administration, accounts processing, and record management activities
  • Assist with onboarding, and payroll administration processes
  • Maintain accurate records relating to caregivers, tamariki, rangatahi, and service activities
  • Support managers and social work staff with planning, coordination, and operational requirements
  • Coordinate meetings, training sessions, and service-related events as required
  • Act as a key point of contact for internal and external stakeholders, including caregivers and partner agencies
  • Support compliance, audit, and continuous improvement activities
  • Contribute to the effective and efficient operation of the Foster Care service and wider team
