The Business Planning and Performance team provides the planning, reporting, performance, governance, risk and business support that helps the Property Services, Assets & Capital Delivery unit operate as one connected team.

We provide the coordination, information, systems and support that connect strategy, operations and capital delivery, giving leaders visibility of priorities, performance, risks and commitments.


We’re looking for two experienced and proactive Business Support Officers to join our collaborative team, working across a diverse range of property and infrastructure activity and building relationships across Council.

This is a varied role providing high-quality administrative and coordination support across the Property Services, Assets & Capital Delivery business unit. You’ll work closely with managers and teams, helping keep things organised, information flowing and day-to-day business running smoothly.

From managing busy calendars and coordinating meetings through to financial administration, travel, onboarding, information management and business planning support, you’ll be someone who can anticipate what’s needed, stay on top of competing priorities and make things happen.


Āu ake mahi | What you'll do

You’ll provide proactive business support across the team and wider business unit, including:

  • Managing calendars, inboxes, meetings and appointments for managers.
  • Coordinating meetings, workshops, planning sessions and team events, including agendas, papers, minutes and actions.
  • Providing financial administration, including purchase orders, invoices, receipting and monthly accruals.
  • Supporting onboarding, induction, recruitment administration and offboarding activities.
  • Maintaining accurate records, registers, databases and electronic filing systems.
  • Supporting reports, meeting papers, business documentation and information management activities.
  • Assisting with LGOIMA requests by coordinating information and responses.
  • Supporting business planning, governance and performance reporting activities as required.
  • Maintaining team communications, distribution lists and intranet content.
  • Building positive relationships across Council and providing responsive support to managers and teams.
  • Looking for ways to improve administrative processes and make it easier for the team to get things done.

We’re looking for someone who is organised, confident and proactive, with the experience to operate independently in a busy and complex environment.


You’ll bring:

  • 5+ years’ experience providing administrative or business support to teams.
  • Strong experience managing competing priorities and providing proactive support to managers and teams.
  • Excellent calendar, inbox and meeting coordination skills.
  • Experience organising travel, events, workshops and other logistics.
  • Strong financial administration skills, including purchase orders, invoicing and receipting.
  • Experience supporting onboarding, recruitment or other people-related administration.
  • Strong information management and document control skills.
  • Excellent written and verbal communication skills.
  • Confidence working with Microsoft Office, particularly Outlook, Word, Excel, PowerPoint, Teams and SharePoint.
  • A high level of attention to detail and the ability to maintain accurate records and information.
  • The ability to build effective working relationships with a wide range of people and stakeholders.
  • A self-directed approach and the confidence to use your judgement and get on with the job.


Experience working in local government or another large, complex organisation would be an advantage, as would experience supporting governance, planning, business performance or property and infrastructure functions.

NCEA Level 3 or equivalent experience is required. A relevant administration, business support or coordination qualification is desirable.
