  • Support across two teams - mainly based in Wellington CBD


M ō te t ū nga | About the role


We are looking for a proactive and competent administration superstar to join our Offender Employment Administration Team, Executive Service Team as well as our Legal Services Team.


While a large part of your role will be processing invoices using the department's SAP financial modules, you will also undertake a variety of tasks including running surveys, excel reporting design, PowerPoint presentations, document management on SharePoint, travel and accommodation bookings and a variety of other general administration tasks.


Important information for this role: Your role will work across three teams, two of these teams is based in our National Office in Wellington Central, and the other is based at our Regional Administration Building in Trentham. You will mainly be based within the teams in National Office, however flexibility and adaptability to help the team in Trentham is also required.

To be successful in this role you need:

  • Experience in providing efficient and effective business administration support.
  • Ability to build and maintain professional working relationships with a diverse cross section of people across a range of organisational levels.
  • Ability to maintain confidentiality and manage sensitive information.
  • Ability to understand interrelated systems (finance and legal)
  • Attention to detail and strong prioritisation and time management skills.
  • Strong written and verbal communication skills.
  • Proactive approach with a can do attitude.
  • Good problem-solving skills.
  • Ability to analyse data and to draw conclusions
  • To have diary management skills
  • SAP experience
  • Using electronic systems for document management (SharePoint), procurement, accounts payable, contract management, email and room bookings (Outlook), and legal services unit communications (Teams)
  • Finance related responsibilities including managing invoices, requesting purchase orders
  • Procurement related responsibilities including completing vendor request forms
  • Assisting with staff onboarding
  • Ordering catering, booking travel, stationery and photocopier problem solver
  • Updating the Legal Services' Unit page on Corrections' intranet
  • Full drivers license required

The salary range for this role is $64,717 - $68,434 per annum across 2 levels. Appointment and remuneration will reflect skills and experience relevant to the role.
