We are recruiting on behalf of a values-led, community-focused organisation that is committed to improving outcomes for whānau and empowering people to lead healthy, fulfilling lives. The organisation operates from a kaupapa Māori foundation, with values such as manaakitanga, whanaungatanga, rangatiratanga and kotahitanga guiding everything they do.  This is an exciting opportunity for an experienced Executive Assistant to provide high-level support to senior leaders while contributing to work that has a genuine impact on the community.


About the Role:

As Executive Assistant, you will play a pivotal role in ensuring the smooth day-to-day operation of the executive team. You'll be highly organised, proactive, and able to manage competing priorities with professionalism and discretion.  This role requires someone who thrives in a fast-paced environment, remains calm under pressure, and can confidently manage confidential information.

Full-time Monday to Friday position , however flexibility can be considered for the right candidate.


Key Responsibilities

  • Provide executive and administrative support to senior leaders
  • Manage calendars, meetings, appointments, and travel arrangements
  • Prepare agendas, board packs, reports, and correspondence
  • Take accurate meeting minutes and track action items
  • Coordinate internal and external communications
  • Maintain confidential records and documentation
  • Support projects and organisational initiatives as required
  • Build positive working relationships with staff, stakeholders, and the wider community


What We're Looking For

  • Previous Executive Assistant, Personal Assistant, or senior administration experience
  • Exceptional organisational and time management skills
  • Strong minute-taking and document preparation abilities
  • High level of professionalism and confidentiality
  • Strong written and verbal communication skills
  • Confident using Microsoft Office and a range of digital systems
  • Ability to multitask and adapt to changing priorities
  • Calm, composed, and solution-focused under pressure
  • Passion for supporting communities and making a positive difference
  • Understanding of te ao Māori and kaupapa Māori values
  • Confidence speaking Te Reo Māori, or a willingness and genuine desire to continue learning
