This permanent full-time role is 40 hours per week based in Māngere.


About the Role


As Senior Administrator, you will provide professional administrative, coordination and customer service support to a newly established multidisciplinary team delivering services to tamariki and whānau.


You will play a critical role in ensuring administrative systems, reporting processes, financial administration, payroll coordination and service operations run smoothly and efficiently. As a key member of the team, you will help create systems and processes that support high-quality service delivery from day one.


This role offers variety, autonomy and the opportunity to work closely with managers, social work professionals, community stakeholders and whānau while contributing to an innovative service designed to achieve better outcomes for children and families.


Key Responsibilities


  • Provide high-quality administrative and coordination support to the service
  • Develop and maintain efficient administration systems and processes
  • Coordinate reporting requirements and ensure deadlines are met
  • Support financial administration, accounts processing and record management
  • Assist with recruitment, onboarding and payroll administration activities
  • Maintain accurate client, service and personnel records
  • Support managers with planning, coordination and operational requirements
  • Assist with audits, compliance activities and continuous improvement initiatives
  • Act as a key point of contact for internal and external stakeholders
  • Contribute to the successful establishment and ongoing operation of the new service team


About You


To be successful in this role, you will bring:


Essential


  • Proven experience in a senior administration or office coordination role
  • Exceptional organisational skills and ability to manage competing priorities
  • Strong attention to detail and commitment to accuracy
  • Excellent written and verbal communication skills
  • Advanced Microsoft Office skills, including Word, Excel, Outlook and PowerPoint
  • Experience preparing reports and maintaining databases and records
  • Sound numerical and financial administration skills
  • Ability to work independently and use initiative
  • Strong customer service and stakeholder relationship management skills


Desirable


  • Experience within the social services, health, education, community or not-for-profit sectors
  • Understanding of the Māngere community and local service landscape
  • Knowledge of working with Māori, Pacific and culturally diverse communities
  • Experience supporting multidisciplinary teams or community-based services
  • Understanding of confidentiality, privacy and information management requirements
