Job Description

At Ventia, we're proud to support essential community services that make a real difference every day. We are seeking a highly organised and proactive Fleet Coordinator to join our team supporting the healthcare sector at Palmerston North Hospital.

This is more than a fleet role. The vehicles you manage help healthcare professionals deliver vital services to patients across the region. Behind every booking, service, and vehicle movement is a patient relying on care. If you're solutions-focused, calm under pressure, and thrive in a fast-paced environment where no two days are the same, we'd love to hear from you.

About the Role

Reporting to the Fleet Manager and working alongside another Fleet Coordinator, you'll take ownership of a diverse fleet of approximately 300 vehicles servicing the Palmerston North and Whanganui districts.

This is a largely independent role requiring strong administration skills, attention to detail, and the ability to confidently manage multiple priorities and systems.

Key Responsibilities

  • Coordinate vehicle bookings and allocations using the SmartTrack fleet management system
  • Respond to booking queries and fleet-related enquiries from users
  • Monitor vehicle compliance requirements, including servicing, WOFs, registrations, and maintenance schedules
  • Arrange vehicle servicing and transport vehicles to and from service providers as required
  • Maintain accurate fleet records and reporting
  • Provide excellent customer service to stakeholders across the healthcare network
  • Support continuous improvement initiatives and fleet optimisation activities

About You

You'll be someone who enjoys problem-solving, can adapt quickly to changing priorities, and remains calm and professional when managing competing demands.

To be successful, you'll have:

  • Strong administration and coordination experience
  • Intermediate to advanced Excel skills
  • Confidence learning and working across multiple systems and applications
  • Excellent organisational skills and attention to detail
  • The ability to work independently while building strong stakeholder relationships
  • A solid understanding of compliance requirements and processes
  • A current full New Zealand Class 1 Driver Licence
  • A customer-focused approach with a commitment to supporting essential healthcare services

What's on Offer

  • Flexible start and finish times, with standard hours generally between 8:00am and 4:30pm
  • A varied role where every day brings new challenges and opportunities
  • The chance to contribute to services that directly support patients and local communities
  • Ongoing career development and training opportunities
  • A supportive and collaborative team environment
